Job Description
Purpose
Material Controller: Responsible for ensuring availability of materials in accordance with production plan and support the production process to fulfil KPI targets
Supplier Relationship Manager: Supplier Relationship Manager is developing and coaching suppliers to perform as expected according to Volvo Logistics Requirements in Key Elements Procedures for Logistics (KEP7)
Dimensions
Responsible for material procurement from Local & Overseas suppliers for Volvo trucks and Axle production. Support Development of regional Volvo Group Suppliers & support solve ad hoc crisis at supplier’s facility
The scope of a SRM is global. The responsibility covers Supply Chain activities between supplier and all involved Volvo plants / distribution Centers globally
Accountabilities/Responsibilities
Material Controller
- Responsible to execute Material Control operations in accordance with routines and global guidelines for selected suppliers.
- Responsible to call off materials based on MRP calculations for both truck parts and axle parts
- Responsible for follow-up with suppliers for on-time delivery for trucks materials and axles
- Monitor the performance of suppliers in terms of delivery
- Co-ordinate with suppliers for any deviations (quantity discrepancy, documentation issues, quality concerns etc)
- Co-ordinate with Production Logistics to custom clear the materials
- Provide the date of scheduled receipt of parts and actual status for production batches
- Close co-ordination & collaboration with Internal Material Handling team, Production, Quality and Finance for any concerns in Material supply, physical as well as documentation and Payment issues etc
- Escalate, as necessary, all supplier issues internally within GTO IM & GTP /GTT
- Suggest and implement improvements on the current process
- Responsible to update parameters in Material Control Systems
- Provide process inputs for developing ERP solutions
- Co-ordinate with GTP / GTT for any issues related to the suppliers (e.g- Purchase Order issues, Quality issues, DCN etc)
- Maintain and monitor reports as per requirements
- Co-ordinate and support warehouse to set up Safety stocks and re-order levels
- Responsible to support other Volvo Plants / Volvo parts division if required.
- Co-ordinate and provide inputs to Logistics handler for DCN introductions (e.g- Stock at supplier end)
- Use VPS methodology as guiding principle to design, operate and improve the material control processes
- Provide inputs for Superstructure Strategy
- Support/Lead projects that affects Material Control processes
- Attend QRQC meeting
Supplier Relationship Manager
- SRM responsibility covers proactive work to improve supplier performance, within the Inbound Supply Chain, and Delivery Crisis management. To be successful in these areas the SRM should take part of a Volvo internal Network.
- Continuous Improvement and Risk mitigation
- Continuously improve supplier’s performance in the Inbound Supply Chain based on logistics requirements described in the Key Elements Procedures, KEP7.
- Selected High Profile suppliers are focused for continuous improvement.
- Build a strong and professional relationship with suppliers
- Establish a network with supplier for key functions; Logistics/ Supply Chain manager, Plant manager, Supplier resources dedicated to Continuous Improvement etc.
- Perform on site visits and meetings, with defined frequency
- Identify gaps and risks within Supply Chain (both physical and information flow)
- Gather knowledge about the supplier using check lists, SWOT, Supply Chain maps / VSM etc. to identify type of products, production process, ERP system, manufacturing & shipping sites, high level capacity, 2nd tier suppliers, subcontractors etc
- Perform Global MMOG/LE Audit including the gap-analysis.
- Evaluate the suppliers dispatch precision (SDP) /Service level to all concerned goods receivers versus target level.
- Escalate any identified capacity issues to Purchasing.
- Evaluate / add supplier for Inbound Supply Chain risk in CRL / CSL / Risk list
Continuous improvement
- Support suppliers in prioritizing actions for CI, securing resources and management support at supplier.
- Set an action plan with supplier based on result from MMOG/LE audit and gap-analysis
- Ask for root cause analysis, actions & back on track dates in case overall DP < acceptance level (minutes of SRM meetings and supplier action log to be uploaded in VSIB)
- Communicate and explain the production program to HP suppliers and to LP suppliers upon request. Ask for commitment for delivery according to EDI.
- Make proposals for SCOG or similar (Supply Chain Optimization Governance)
- Introduction of new suppliers
- Support the Logistic Manager Sourcing (LMS) in Global sourcing process
- Presentation of SRM role to supplier
- Update, if needed, the new supplier about logistics requirements; KEP 7 & Logistic Agreement, Dispatch precision/Service level, EDI, packing & communication, Supplier Portal etc. (The basic training to be secured by Logistics Manager Preparation, LMP)
- Review Portfolio
- At times review the classification of High Profile and Low Profile suppliers in portfolio and upgrade selected Low Profile suppliers to High Profile.
- Down prioritize High Profile suppliers, keeping less frequent meetings based on SDP evolution or remaining open actions in MMOG action plan or action log.
Crisis Management

- Crisis Management starts with an escalation normally from Material Control (or similar function for SML) or from the supplier.
- Act according to the Escalation ladder – take decision to initiate an internal crisis team.
- SRM decides to add supplier for Crisis in Supplier CRL
- Lead Emergency Routine in case of temporary but severe shortages from supplier to more than one goods receiver. The purpose is to avoid shortages (at Point of Use) at the different goods receivers.
- Utilize professional relationship and knowledge about supplier, and Volvo users/ Transport network, to minimize the impact from crisis situation and to support supplier to identify solutions.
Internal network
- Provide input related to SRM scope for BRM (Business Review Meetings) and participate in BRM for suppliers, when invited by GTP.
- Participation/preparation for internal meetings, such as:
- Regional Crisis and Risk meetings
- Regional SRM network meeting
- Global SRM network meetings
- SEMLA (lead auditors)
- Local meetings with Material Control and Logistics
- Establish internal network with GTO and GTP both for Crisis management and Continuous Improvement work
Authorities:
- Call for meetings with Suppliers to discuss and solve issues.
- Call for meetings with SRM team & GTT buyers.
- Call for inter-department meetings to solve material control issues
- Escalate suppliers to Purchasing or Escalation forum for appropriate actions
- Authority to take rush transports decisions in case of crisis (in accordance with Directive 0001-27-59 or local rules).
- Authority to prioritize available material from suppliers between concerned goods receivers in case of crisis management. SRM will to split the available parts between plants and distribution centers involved, according to their minimum needs.

Additional Information:
Knowledge, Skills and Experience
- Diploma / Bachelor of Engineering/Relevant Degree / experience (5-10 Years)
- Good knowledge of Automobile products
- Good communication skills
- Knowledge of languages (English, Kannada, Hindi).
- Knowledge of MRP / ERP processes
- Hands on experience of working in ERP (SAP, Oracle material Masters)
- Sound knowledge & experience in Supply Chain & Material management
- IT Knowledge: use of MS office (Excel, MS-word, PP). Operational knowledge on SAP.
- Experience in working with VPS / best practices and continuous improvements
- List of competencies and qualifications applicable for SRM role:
- MMOG/LE Lead Assessor (or time plan to become LA)
- Leadership skills including Supplier interaction
- Networking skills
- Multitasking ability
- Customer Focus
- Above mentioned competencies are important for the ability to inspire and motivate suppliers to drive change and improvements. Additional key success factors are the ability to create a team spirit with a holistic view and to be rather quick in analyzing and decision taking. The SRM role requires the possibility to travel, sometimes with short notice. Knowledge of Volvo products and where they are produced is very useful.
