Job Description

  • Inventory Management:
    • Define ROL ROQ in system based on consumption trend
    • Monitor and maintain adequate stock levels of general and engineering items
    • Conduct regular stock audits and reconciliations to ensure accuracy.
    • Ensure all items are stored appropriately to maintain their quality and safety.
  • Coordination with procurement Department:
    • Raising purchase request on time based on ROL/ROQ
    • Collaborate with the procurement department for purchasing required stock in a timely manner.
  • Receiving & Inspection:
    • Receive goods, inspect for quantity and quality as per order specifications.
    • Ensure proper documentation of goods received, and report any discrepancies or damages.
    • Ensure compliance with hospital standards
    • Timely GRN and material receiving
  • Stock Distribution:
    • Ensure timely issuance and delivery of supplies to various hospital departments.
    • Create and maintain requisition logs and ensure that departments receive their requested supplies efficiently.
  • Record Keeping & Documentation:
    • Maintain accurate and up-to-date records of stock movements, including receipts, issues, and reordering.
    • Prepare periodic reports on stock levels, usage trends, non-moving stock, and reorder requirements.
  • Budgeting & Cost Control:
    • Monitor the budget allocated for hospital supplies and suggest cost-saving initiatives without compromising quality.
    • Reduce wastage and ensure optimal use of resources to avoid overstocking or stockouts.
  • Compliance & Safety:
    • Ensure that the store adheres to health and safety regulations, particularly in the storage of hazardous or perishable materials.
    • Ensure proper disposal of expired, obsolete or damaged items, especially printing, stationary etc
    • Maintain a clean, organized, and secure store environment.
  • Coordination with other department and team Supervision:
    • Supervise and train store personnel in handling stock and maintaining proper procedures.
    • Delegate responsibilities within the team and ensure the smooth running of store operations.
  • Technology & Automation:
    • Use hospital management software and inventory systems for efficient tracking and reporting.
    • Suggest improvements to current inventory management systems to increase efficiency.
  • Emergency Response:
    • Prepare for emergency situations by maintaining critical supplies at all times.
    • Work closely with clinical/non clinical departments to ensure urgent requests are fulfilled without delay.
  • Equipment Maintenance Support
    • Track maintenance schedules and ensure the availability of spare parts for engineering equipment.
    • Coordinate with the engineering team for repair and replacement needs.
    • Maintain records of all maintenance activities.
  • Asset Condemnation
    • Identify and document assets (medical and engineering) that are no longer functional or cost-effective to repair.
    • Prepare reports for asset condemnation, including technical assessments and justifications.
    • Liaise with the hospital’s administration and finance departments to obtain approvals for condemnation.
    • Maintain records of condemned assets for audit and compliance purposes.
  • Scrap Management
    • Segregate scrap materials based on their type (e.g., recyclable, hazardous, non-recyclable).
    • Maintain detailed logs of scrap generated, including quantity, type, and source.
    • Coordinate with authorized agencies or dealers for safe and compliant disposal of scrap materials.
    • Implement sustainable practices to minimize waste and maximize recycling.

Job Objective

The General Store In-Charge is responsible for the overall management of the hospital general and engineering store, ensuring efficient handling of medical and non-medical supplies. This role involves maintaining optimal inventory levels, scrap / condemn items management, ensuring timely availability of materials, and implementing best practices for inventory control and storage.

Qualification

  • Education: Bachelor’s degree in any field.
  • Experience: Minimum of 5-6 years of experience in a similar role, preferably in a healthcare or hospital setting.
  • Skills:
    • Strong understanding of inventory management principles.
    • Excellent organizational and multitasking skills.
    • Proficiency in inventory management software and MS Office applications.
    • Good communication and interpersonal skills to liaise with departments and vendors.
    • Ability to lead and supervise a team effectively.
