Executive – Logistics

The main purpose of this role is to manage the end-to-end import/export and domestic logistics processes, ensuring timely and accurate delivery of goods. This includes coordinating with internal teams, external partners, and vendors to meet customer requirements, while maintaining compliance with internal policies. The role also focuses on optimizing logistics performance and resolving topics proactively.

Principal Accountabilities

• Import Management: manage the complete import and logistics process by coordinating with local customer service team, intercompany teams, and CHA’s. Ensure seamless import management, timely intercompany order entry in SAP, follow up for timely dispatches
• Export Management: manage the complete export and logistics process by coordinating with freight forwarders, and CHA’s. Ensure seamless export management, timely dispatches to the customers
• Oversee the accuracy and timeliness of intercompany orders, validate shipping documents to avoid delays, and follow up with counterparts for corrections as needed. Ensure the timely clearance of goods at Indian ports, liaising with CHA and coordinating the required documentation and payments for customs clearance
• Collaborate with the India demand planner and warehouse to ensure proper allocation of products. Follow up timely container arrivals, and efficient transport arrangements. Keep internal teams informed of any changes in dispatch or arrival schedules and maintain an up-to-date import container tracking dashboard
• Manage vendor relationships and assist in the development of logistics vendors. Track logistics vendor performance, review KPIs, and ensure payment releases as per the due date
• Manage logistics-related complaints and issues, raising them in SAP and the customer complaint tool (ETQ) for resolution, ensuring proper follow-up and credit note generation wherever applicable.
• Coordinate with insurance companies in case of transit damage and follow up on claim settlements. Ensure compliance with all internal processes and policies and provide documentation to auditors when required

Functional Responsibilities

• Serve as the primary interface between customers and internal teams, collaborating with various departments to deliver exceptional service and resolve customer inquiries
• Realizes and anticipates how events and trends are likely to affect the customers future needs and satisfaction
• Collaborate with relevant internal teams to resolve customer complaints
• Comply with internal policies and contribute to the achievement of commercial department targets

The key accountabilities are not necessarily complete and can be extended when needed. Description should concentrate on impact on business and innovation (i.e. business contribution, nature and scope of responsibilities, range of activities, processes, projects).

• Graduate / Post-graduate or Diploma holder in supply chain, logistics, or import-export from a recognized university / institute
• 8 plus years of firsthand professional experience in supply chain management, with a strong focus on import-export operations and local logistics, preferably in a specialty chemicals environment
• Proven ability to assess company needs, identify challenges, and provide effective solutions
• Strong customer advocacy with a customer-centric approach to service
• Excellent verbal and written communication skills, with the ability to effectively engage stakeholders at all levels
• Proficient in SAP (ERP), with experience in the SD and MM modules
• Ability to work independently while also fostering strong team collaboration
• Cross-functional experience with a focus on problem-solving and delivering results, demonstrating flexibility and adaptability while collaborating with diverse teams
• Ability to act with urgency, quickly addressing roadblocks and capitalizing on opportunities
• Advanced user of Microsoft Office, including Word, Excel, and PowerPoint
