Position Overview: The 3rd Party Warehouse Inventory Analyst is responsible for conducting comprehensive reviews of 3rd Party warehouses, terminals, and tollers’ inventory to ensure accuracy of inventory records, ensuring data integrity and reliability. This role plays a crucial part in identifying inventory discrepancies and losses to maintain the company’s financial health. Initially, this role will cover North America with anticipated expansion globally. This role requires a detail-oriented individual with strong analytical skills, a solid understanding of inventory management principles, and the ability to lead and improve inventory practices within the organization.
Key Responsibilities:
  • Experience with standardizing and centralizing inventory management processes and controls.
  • Monitor and maintain accurate inventory records, ensuring completeness and accuracy.
  • Remote coordination of routine annual site visits to execute inventory count observations.
  • Monitor/identify discrepancies between physical counts and system records, investigate causes and implement corrective actions.
  • Ensure timely reporting of inventory status and discrepancies.
  • Analyze variances via reconciliations and inventory control processes. Work with warehouses and Supply Chain to ensure upstream processes affecting material movement are tightly controlled to limit reporting period variances.
  • Own and maintain a live Failure Mode and Effects Analysis of controls affecting inventory movements in 3rd party warehouses.
  • Work with warehouse staff to implement inventory control best practices.
  • Develop and maintain key performance indicators to measure inventory accuracy and efficiency.
  • Conduct audits of 3rd party warehouse operations to ensure compliance with contractual agreements.
  • Assist in developing and updating internal audit procedures and controls.
  • Define the Reconciliation Process in cases of new sites.
  • Coordinate communications with warehouses and Supply Chain, including inventory reports from third party locations.
  • Analyze period end inventory balances to identify inventory locations in-scope for control procedures.
  • Independently extract Lubrizol system inventory reports. Complete reconciliations, and investigate discrepancies identified.
  • Perform root cause analysis on material variances.
  • Document the reconciliation results and actions taken and update the system.
  • Investigate/resolve ad hoc adjustments throughout period (outside of reconciliation process) & adjust system.
  • Review and approve adjustments per policy thresholds
  • Communicate the reconciliation status and issues to the relevant stakeholders
Qualifications:
  • Bachelor’s degree in finance, accounting, or related field.
  • Proven experience in inventory controlling or auditing, preferably in a warehouse or logistics environment.
  • Strong understanding of inventory management practices and systems.
