Job Description

 
  • JOB PURPOSE

To lead Marketing Co-ordination office having interface with various PSUs viz. IOC, BPC, HPC and other oil marketing companies like Shell India, co-ordination with GAIL etc to materialise product despatch plan by Road and Pipeline, including dealing exceptions, emergent situations etc.

Lead Road Logistics team to ensure availability of required tank trucks and materialisation of indents placed by Retail and IB customers for delivered supplies, managing operations and deal exceptions, emergent situations etc.

Drive culture of safety and learning among drivers, company employees etc.

Focal point for all issues for supplies by Road and Pipeline to different distribution channels viz. Bulk, Direct/Institutional business, Retail etc.

Optimisation of resource utilisations, system improvements, ensure synergies among sub-functions to achieve overall operational excellence and driver safety cultures at core.

ACTIVITIES

Materialisation of monthly product distribution plan by Road and Pipeline
  • Materialisation of day to day indents placed by different customers viz. PSUs and other OMCs, Retail Franchisees, Institutional Business etc for all products ie. White Oil, Black Oil, LPG, Petcoke etc.
  • Materialisation of Stock Transfer Orders (STOs) by Road
  • Monitoring of variances and ensure timely interventions to ensure materialisation of product despatch plan by Road and pipeline.
  • Planning and scheduling of indents placed for various products by different customers to ensure their loads in line with plan in timely manner without pendency.

Arrangement of Tank Trucks from different transporters to materialise delivered supplies by Road for Retail and IB business
  • Making arrangement of required Tank Trucks for delivered supplies through various transporters.
  • Exercising required checks for their induction and day to day uses.

Various Documentations including preparation of invoices, e-way bills etc
  • Check documentation of tank trucks placed by contracted transporters, indents by customers etc.
  • Preparation of relevant despatch documents viz. invoices, e-way bills against all shipments and their disseminations in time.
  • Retention of required despatch document against despatches for future reference.

Management Reporting
Timely release of various MIS

Compliance
  • Compliance of statutory policies & procedures while creating the vehicle master & invoice and release of TTs
  • Adhering to ILP & FMDP numbers for OMCs supplies

Inculcate Safety Culture
  • Implementation of safety policies and drive safety culture among team.
  • Development/Execution of HSEF training plan for TT Crews

Inventory Management – Consumables
  • Inventory management of stationery, seals other consumables viz. seals, locks etc

Coordination
To ensure the product evacuation as per the ILP/MDP and necessary coordination with OMCs
 
  • To collaborate and coordinate with Gantry Operations, Accounts, Taxation & IT departments for seamless loading, optimising facilities, to resolve customer issues , system enhancement to improve the customer service

Customer Satisfaction and Networking
  • Ensure resolution of customer issues in time
  • Seeking details of complaints, ensuring investigation and required corrective actions to retain confidence
  • Ensure require networking to have market inputs and remain abreast of ongoing developments

Manpower Development
  • Proactively develop skills of officers in the team through various trainings, job-rotations, job-enrichment etc.
  • SKILLS & KNOWLEDGE
  • Educational Qualifications & Certifications:

Graduate Engineer or equivalent preferably with MBA/Post Graduate Diploma in Supply Chain Management/Operations Management or similar courses

Or

Graduate with Science and MBA/Post Graduate Diploma in Supply Chain Management/ Operations Management/Transport Management or similar courses

  • Relevant (Functional/Level) & Total Years of Experience:
  • Minimum 20 Years experience of working at a POL/LPG Terminal/Depot, in case of Engineering Graduate.
  • Minimum 22 Years experience in working at a POL/LPG Terminal/Depot, in case of Science Graduate.
  • Person working at Refinery Terminal shall be preferred.

Relevant Experience:

  • Terminal/Depot Operation dealing with multiple products viz. MS, HSD, LPG, Bitumen, FO etc having own storage and loading operations
  • Experience in documentation of despatches viz. invoicing using SAP or any other relevant ERP.
  • Hands on experience in dealing large customers and transporters in fulfilment of orders
