Job Summary:

The Supervisor – Warehouse Operations is responsible for overseeing daily warehouse activities, ensuring efficient, timely, and accurate order fulfillment, inventory management, and compliance with safety regulations. This role involves supervising warehouse staff, optimizing workflows, coordinating inbound and outbound shipments, and maintaining a high level of operational efficiency. The Supervisor works closely with the Warehouse Manager to meet productivity targets, manage resources, and improve warehouse processes while maintaining a safe working environment.

Key Responsibilities:

1. Warehouse Operations Management:

  • Oversee daily warehouse operations, ensuring timely and accurate receiving, storage, picking, packing, and dispatching of goods.
  • Ensure proper allocation and storage of inventory to maximize space utilization and efficiency.
  • Monitor and manage the workflow to meet productivity and customer service goals.
  • Implement, review, and improve warehouse processes and procedures to streamline operations.
  • Coordinate and track inbound and outbound shipments, ensuring proper documentation and communication with carriers.

2. Staff Supervision & Development:

  • Supervise a team of warehouse employees, providing clear instructions and direction to meet operational goals.
  • Manage staffing levels, including shift planning, to ensure coverage for all warehouse activities.
  • Train, develop, and motivate warehouse staff, providing ongoing coaching and performance feedback.
  • Ensure adherence to safety protocols, warehouse procedures, and company policies.
  • Conduct regular team meetings to communicate objectives, address issues, and promote team collaboration.

3. Inventory Control & Management:

  • Oversee and participate in physical inventory counts and cycle counts to ensure accuracy of stock records.
  • Monitor stock levels and coordinate with procurement and logistics teams for replenishment.
  • Investigate and resolve inventory discrepancies, ensuring proper documentation and reporting.
  • Implement best practices for inventory management to reduce shrinkage and ensure optimal stock rotation (FIFO/FEFO).

4. Health & Safety Compliance:

  • Ensure compliance with health, safety, and environmental regulations within the warehouse.
  • Conduct regular safety inspections and ensure that safety protocols (e.g., PPE usage, equipment maintenance) are being followed by all staff.
  • Report safety hazards, incidents, or accidents and take corrective actions to prevent reoccurrence.
  • Foster a safety-conscious culture by promoting awareness and conducting safety training.

5. Performance Monitoring & Reporting:

  • Track key performance indicators (KPIs) such as order accuracy, on-time shipments, and labor productivity.
  • Prepare daily, weekly, and monthly operational reports for management, highlighting key achievements and areas for improvement.
  • Implement and monitor performance improvement initiatives to enhance operational efficiency.

6. Equipment & Facility Management:

  • Ensure that warehouse equipment (e.g., forklifts, pallet jacks) is maintained, serviced, and used properly by staff.
  • Coordinate with maintenance teams to address facility or equipment repairs as needed.
  • Manage warehouse cleanliness and organization, ensuring that workspaces are clean, safe, and optimized for efficient operations.

7. Communication & Coordination:

  • Serve as the point of contact between warehouse staff, logistics partners, and other departments (e.g., procurement, customer service, sales).
  • Liaise with suppliers, carriers, and customers to ensure smooth logistics operations and resolve any issues that arise.
  • Address customer inquiries or issues related to shipments, delivery schedules, or inventory availability.

Key Qualifications & Skills:

  • Education: Any Bachelor’s degree, preferably in logistics, supply chain management, or related field.
  • Experience: Minimum 3-5 years of experience in warehouse operations, with at least 1-2 years in a supervisory or team lead role.
  • Skills:
    • Strong leadership and team management skills.
    • Knowledge of warehouse management systems (WMS) and ERP software.
    • Proficient in inventory management, order fulfillment processes, and logistics coordination.
    • Excellent problem-solving skills and the ability to handle multiple tasks simultaneously.
    • Strong communication and interpersonal skills.
    • Attention to detail and a focus on accuracy.
    • Ability to work in a fast-paced, dynamic environment
    • Experience with lean warehouse operations or continuous improvement processes (e.g., Six Sigma, 5S).
